Inserting a multimedia component (Sound or Video)

Multimedia components, such as, sound, graphics, and video can enhance your PowerPoint presentations. However, it is important to remember to use multimedia sparingly. Sound, graphics, and video files can be millions of bytes in size. This has the effect of slowing down your presentation.

You will insert a sound file in your presentation.

  1. Open your presentation in Slide View.
  2. Choose Insert/Sound.
  3. The Media clip Dialog Box opens.

  4. Select a sound file you wish to insert.
  5. When you insert multimedia, PowerPoint detects your computer’s multimedia capabilities. The choices vary depending your computer system. For example, if your computer does not have a sound card, the sound choices would be disabled.

  6. Press OK.
  7. Now the sound or video object is "embedded" on the slide and its icon is visible. When you get to this slide during your slide presentation the sound will play. When you click the sound icon, the sound will play.

    Setting when you want the sound or video to play.

    You use the Play Settings command on the Tools menu to tell PowerPoint how and when embedded movies and sounds should be played.

  8. Display the slide that contains the movie or sound object.
  9. Select the object. (In this case, select the sound icon.)
  10. Choose Tools/Animation Settings.
  11. In Animation Settings dialog box, select Play/More...
  12. The More Play Options dialog box appears.

  13. Choose one of the Start Play methods.
  14. Select Playing media options.
  15. Select the Hide While Not Playing check box if you don't want the object to appear during a slide show.
  16. Choose OK/OK.
